Coordination of ITS with Faculty at each College of Education Facility
A meeting held in the DCR, Wednesday, August 11, 2004

In attendance:
Jo Birdsell, Susan Bentley, Linda Reksten, Robert Joslin, Darrel Falk, and Barbara Rutledge

The purpose of this meeting was to lay out the groundwork for establishing a system in which there would be a faculty coordinator to serve as a liaison for all academically-oriented ITS related concern at each site.  Linda Reksten has indicated her willingness to serve as the “Coordinator of the coordinators” and will herself serve as the coordinator at the Arcadia site.

Here are the issues that seemed to be most germane:

  1. The need to ensure that all faculty (full-time and adjunct) are checking and using their PLNU email account.  As a condition of employment, all faculty should check their PLNU account at least weekly for messages that may be germane to them
    1. In addition to assuring that instruction is provided and monitoring to make sure that faculty are following thro’, the site coordinator could also show faculty how to set up filters or special email boxes that in essence filter out unwanted messages.
  1. All faculty (part-time and full-time) at all locations need to have their syllabus up on eclass.  This will ensure that all faculty are familiar with the fundamentals of eclass and will encourage them to begin to explore its usefulness in their courses.  Also, each faculty member should designate that his/her location director has access to the course eclass file, in order to monitor its use.
  1. At this point in time ITS is not moving towards portable wireless labs because of potential security problems.  Hence the coordinator also serves as the coordinator of each sites computer lab.
  1. In our 2042 document we promised the state that our preliminary credential students would be setting up e portfolios.  The coordinators will need to explore options as to whether “Live Text” is the best option or whether there are others that would be better.  Once that decision is made, the coordinators would ensure that all concerned were familiar with this technology.
  1. Each of the site coordinators would meet monthly on faculty meeting day in San Diego
  1. All students need to check regularly, and use, their PLNU email account.  That is the only electronic way that PLNU as an institution can communicate electronically with students, hence students need to use.  Professors should not take other email addresses and communicate with students at those addresses since students are req’d to check their PLNU accounts.

In attendance:
Linda Reksten, Darrel Falk, and Anne-Elizabeth Powell

  1. We discussed how best to ensure that all students in all programs are fully aware of all aspects of fully utilizing library resources.
  2. Concluded that there are in essence two potential ways of doing this.  One would be through an orientation req’d of all students when they begin the program.  ITS and library issues could be dealt with at this orientation.   The second would be to link the orientation to the annual  required Education Associates conference in San Diego.  All students would be required to attend a workshop about library use that would be part of that meeting.
  3. Students need to be aware that their PLNU library card would enable them to use any of a wide number of university libraries.  (Unfortunately Cal State, Bakersfield is not one of them at this time.) 
  4. The coordinators could oversee the establishment of an interlibrary loan system.  We ought to be able to use our Admissions courier system to get overnight delivery of books from the main campus to each location.
  5. New adjunct faculty need to be familiar with all the details of library use and a site coordinator would be able to readily ensure that this takes place.
  6. We need to have designated library room at each location, which at the very least subscribes to key periodicals of the sort that students could regularly browse through.  The coordinator could work with the library ensuring that this is set up and running smoothly.
  7. We emphasized that the coordinator works under the director.  Directors need to be fully informed, consulted, and approve of all issues related to library coordination on their site.
  8. The coordinator would be a liaison that would ensure that a librarian was invited to attend a faculty meeting at each site that included a high percentage of adjuncts at least once per year.
