Supervisor Timecard Instructions

For Supervisors in departments using Web timecards:

  • When a web timecard is submitted by a student employee, you will be notified by email.
  • To approve a timecard, simply click on the web address that you receive in your email, and you will be taken to your portal.
  • Log in with your PLNU username and your password. Select "Employees" in the upper right corner of the screen. 
  • Under the HR/payroll heading, select "Timecard Approval."
  • Click on the web time approval box, and it will pull up all web timecards that are awaiting approval. Click on the date icon to pull up the detailed time card.
  • You can now either approve the timecard and it will be sent to the Payroll Office directly, hold it (wait until later to approve), or send the timecard back to the student for any changes you would like them to make.  (Return, Hold, Approve)


Web timecards need to be submitted to the payroll office by the supervisor no later than 4:30 on the Monday before payday. You will need to give your students a deadline time to send their timecards to you in order for you to meet that deadline.  (We suggest Monday by noon.)

One very important item! When training your students to use the web timecards, please emphasize that it is extremely important that they have set up their e-mail with the school (NOT an off-campus e-mail) and to check it frequently! This is the only way the web time system can communicate with them!
