Q. Will the remote locations receive machines? A. Yes. The contract includes all locations. The new vendor has an office within 20 miles of all our locations, so the service to each location should improve.
Q. How are the existing machines to be serviced? A. Once the IKON techs has come and catalogue your printer and copier, you should be able to call them for service. All machines should be catalogued by Tuesday. Please note, an ITS staff or student worker should be accompanying the vendor employees. If you machine requires service, please call 888-456-6457 and follow the prompt.
Q. How do we order toner and paper? A. You should start ordering paper and toner from IKON as they are giving us better pricing than Office Depot. All paper and toner will be charged into one account and ITS will send each department their portion of the bill. When the print and copy accounting system is setup, you will no longer be charged paper and toner. Rather, the department will be charged for the pages you print and copy. PLEASE NOTE: At the current moment, ITS will receive a bill from IKON and distribute the costs based on the amount you ordered.

Q. Is there a difference in pricing to print on the Multi-function printer (MFP) and laser printers? A. Yes. The inkjet printers cost the most, then comes the laser jets printers and the least expensive is the MFP. The cost differential can be as much as 600%. Please stay tune for further announcements.
Q. How will we prevent everyone from printing color? A. All the computers will default to black/white. If you want to print color, you will have to select the options. So there should not be any accidental color prints.
Q. I need my printer to print sensitive information. How can these units handle that? A. We are implementing a Pharos print/copy control system. With this system we are able to hold your print job on a server until you swipe your ID card to release the print. Of course, the card swipe is next to the printer so you will be able to retrieve the copy as soon as it comes out.
Q. What is the impact on the Reprographics Center? A. The university has always encouraged large print and copy jobs to be completed by the Reprographics Center. This has not changed. Most of the machines we are getting are 35 page per minute machines (Reprographics printers handle large jobs much better with 50+ page per minute copiers).
Q. Are the new units more efficient? A. Yes. The new units are more efficient and uses much less power. Additionally, the toner cartridges are reused where laser toners and inkjet toner cartridges often end up in the landfills. The new units are also able to print duplex, hence it will use half the amount of paper. Unfortunately, you will probably be charged for two pages as the majority of the cost is on toner cost and service.
Q. Will this have a significant impact on our budget? A. We are trying to structure the costs so it will have little to no impact on the department’s budget. That is why I have not announced the final per page charge yet. We are trying to find ways to structure the charges so it will not hurt the departmental budget while minimizing the lease cost on the over all university budget. This is a very tricky situation. Please be patient.
Q. How about students, will they be able to use the units? A. Yes. If you place the unit in a publicly accessible location, the students will be able to use their ID card to copy and print. Their print and copies will be charged to their accounts.
Q. Who gets the new units first? A. There are some locations, such as Sociology and Social Work, that do not have any machines. Obviously, they will receive machines first. Then comes the machines that are giving us the most problems. All machines should be replaced by the end of December.
